Getting started
Claiming your pharmacy and setting it up.
Find your pharmacy in the NHS list, confirm its GPhC premises number, choose a plan, add a card and create your account. We check the claim, usually within one working day, then you set up services, hours and your team.
Every pharmacy and every new branch is checked by a person against the GPhC register before patients can book. We also confirm you work there, with a code sent to the pharmacy's NHSmail inbox or read out on its NHS-listed phone number.
The list comes from NHS England's Organisation Data Service and covers pharmacies in England. If yours is missing or its details are wrong, contact us and we'll help.
No. PharmaOS handles bookings, payments and appointments. Clinical records, EPS and prescribing stay in the systems you already use.
Most pharmacies are ready in under an hour once approved: add your services and prices, opening hours and staff working hours, then share your booking link and QR code.
Pricing and billing
Plans, the free trial, invoices and cancelling.
Every plan starts with 14 days free. You add a card when you claim your pharmacy, but nothing is charged unless we approve your claim, and the first payment is only taken when the trial ends. If we can't approve it, we remove your card.
No. You pay one monthly price, however many bookings you take. Patients pay your normal price and never a booking fee, and NHS services stay free for them.
Payments go through Stripe directly into your pharmacy's own Stripe account, with Stripe's normal card fee. PharmaOS adds nothing on top. You can also let patients pay at the pharmacy.
Each extra branch is £35 a month, from when it goes live. Or choose a plan that includes more: Pro includes 3 branches and Group 10. With 20 or more branches, talk to us about Enterprise.
Starter includes 5 staff accounts and Pro 20. Add more at £8 each a month from Plan and billing. Group has unlimited staff.
Yes. Annual costs ten months' price for twelve, so two months are free. You can switch between monthly and annual at any time.

In Plan and billing, under Card, invoices and cancelling. Every invoice can be downloaded as a PDF.
Yes, at any time from Plan and billing. Everything keeps working until the end of the period you've paid for, and you can change your mind before then with Keep my plan.
When you claim your pharmacy, on the card step. Already subscribed? Add it in Plan and billing; it comes off your next invoices.
No, prices exclude VAT. VAT is added where it applies and shows on your invoices.
Bookings and patients
How patients book, pay and manage their appointments.
No. Patients book on your booking page and confirm with a code sent to their email. They use the same email to see, move or cancel their booking.
Only times when your branch is open, someone who can deliver the service is working, and nobody is already booked. Closures and bank holidays you add are left out automatically.
Yes, for private services once you connect Stripe. The time is held while they pay on your booking page, and a cancelled paid booking is refunded in full automatically.
Yes. They get a confirmation by email when they book and a reminder before the appointment, plus an email if the time changes or it's cancelled.
Yes. Your booking page has a Have a question? form; it emails your pharmacy's owners, and replying goes straight to the patient.
NHS services
Pharmacy First, vaccinations and prescribing.
Yes. Mark a service as NHS and it's always free for patients, with no card asked for. Pharmacy First, flu and COVID vaccinations and blood pressure checks are common examples.
Yes. A prescribing consultation is a bookable service like any other. Your authorised pharmacist sees the patient and, where clinically appropriate, prescribes using your existing approved system. PharmaOS never issues prescriptions itself.
Each service can show who it's for, for example age ranges for Pharmacy First conditions. The pharmacist still checks it's right for the patient at the appointment.
Security and data
Where data lives, and who can see it.
In the UK (London). Each pharmacy's data is kept separate from every other pharmacy's.
Your pharmacy is the data controller for its patients. SiteGrowth, which runs PharmaOS, processes that data on your behalf under a data processing agreement. A patient's PharmaOS sign-in account is SiteGrowth's responsibility.
Other pharmacies can't: the database itself keeps each pharmacy's data apart. SiteGrowth's admin tools show pharmacy claims and branch checks, not patient records.
No. It isn't a clinical record, a PMR, an EPS or prescribing system, or a medical device, and it doesn't make clinical decisions. Those stay with your pharmacists and the systems you already use.
As little as possible. Confirmation and reminder emails give the pharmacy, date and time, but not the name of the service, so a shared inbox doesn't reveal why someone is visiting.
With a code sent to their work email: there are no passwords to leak or reuse. Pharmacies can also require an authenticator app for every member of staff.
